Creating and Managing Operators And Security

Introduction

The Operators & Feature is used for two purposes.  First, as the name suggests, it is used to restrict the access to specific users to specific features in the software.  Secondly, it is used to manage orders downloaded using the MCM (MultiChannelManager).  Each channel is assigned an operator ID and these can be used to filter by operator ID in the the orders list.

  1. To access the Operator IDs, click on the settings button on upper right corner in the Channergy Explorer.
  2. Then select the Operator IDs in the Setup section.
  3. This will open up the Operators screen
  4. To Add a new Operator click on the Add Button button this will bring up the Access Settings screen.
    Enter in the following data.

    1. Operator ID- This is a unique number for the operator.  If the Operator ID already exists in the system you will get the following message.
      Click the OK button and select a new Operator ID.
    2. First Name-For regular users this is self explanatory.  For channels we suggest that you use the name of the channel you are setting up the operator for, like AMAZON
    3. Last Name- For regular users this is self explanatory.  For channels, it is not necessary to add anything in this field.
    4. Added Dt- This is automatically populated with the system date.
    5. Inactive Dt-This is used if you want to keep track of what users are no longer active in the use of the software.  This is an alternate to using the Delete Button button from the Operators screen.
    6. Phone 1 and Phone 2-These fields are used in conjunction with the company setup to allow the software to assign different users to different companies.
    7. Email-This field is used in conjunction with the company setup to allow the software to assign different users to different companies.
    8. Password-If you activate operators and security by clicking on the Activate Button button, you will need to assign a password to each of your users.  NOTE: You do not need to create a password for any of your Channel operator Id’s.
    9. System Administrator-Check this box for at least one user in the system so that they will have access to the security settings screen.
    10. Inactive- If you check this box the user will no longer be able to log into the system and the Inactive Dt field will be populated with the current system date.
    11. Restrict Access to Own Orders & Customers– If this box is checked, the operator will only have access to the customers and related orders that have their operator Id assigned to them.
      1. To associate an operator Id with specific customers set the Sales Rep field in the Additional Info tab in the Customer screen to the assigned operator.  Click here for help on this subject.
      2. When the security is activated the Operator ID of the person logged into the system will automatically be assigned to any orders that are taken by that operator.
    12. Access Group- Optional
    13. Invoice Reports-This drop down can be used to generate custom invoice reports for the selected operator ID.  To set up an invoice report for an OperatorID select the Invoice Report Setup Button button to the right of the drop down.  This will bring up the Invoice Reports setup screen.
      1. Click on the Add Button button to add a new report.
      2. ReportNo-Leave this field blank, after saving the record the next incremental value will be added to this field.
      3. InternalName-Give the report a name that will define what the report is used for.
      4. Name-This is the name of the invoice report that you want to run.  Copy the report name from the reports directory and paste it in this field. See the Reports help topic for details on the reporting system.
      5. ReportName-You can use this field to provide a longer description about the report you will be using.
      6. Click on the Close Button button to save the report link.
      7. After setting up the reports you can select them from the Invoice Report drop down to associate the report with the OperatorID.
    14. Company-This drop down is used to associate a company with the selected operatorID.  To set up a company for an operator ID click on the Company Setup Button button to the right of the Company drop down.  This will open up the Company Setup screen.
      1. Click on the Add Button button to add a new company.
      2. In the blank Company Name row, key in the company name you want to add.
      3. Click on the Close Button button when you are done adding companies.
      4. After setting up companies you can select the company from the Company drop down to associate the operator with a company.

Setting up Security

This section of the Operators and Security feature is to define which operators have access rights to various features in the software.  NOTE: You do not need to set up security for any Operators that are used for your channel integrations.

  1. Tables-Use this option to manage access to the software tables.
    1. Click on the Table Tab tab.  This will display the following screen.
    2. To change the permissions on all of the tables, click on the Permissions Buttons buttons.
    3. To change permissions on individual tables, click on the table and select None, Read Only or Full Access from the drop down list
    4. When you are done setting the Table permissions click on the Ok Button button or click on one of the other tabs.
  2. Actions-Use this option to manage access to specific processes such as Adjusting inventory, Process Orders etc.
    1. Click on the Actions Tab tab.  This will display the following screen.
    2. To change the permissions on all of the actions click on the Assign Permission to All Actions buttons.
    3. To change permissions on individual actions, click on the action and select None or Full Access from the drop down list.
    4. When you are done setting the action permissions click on the Ok Button button or click on one of the other tabs.
  3. Miscellaneous-This tab is primarily used for overall administrative management of the system.
    1. Click on the Miscellaneous Tab tab.  This will display the following screen.
    2. To change the permissions on all of the actions click on the Assign Permission to All Actions buttons.
    3. To change permissions on individual actions, click on the action and select None or Full Access from the drop down list.
    4. When you are done setting the miscellaneous permissions click on the Ok Button button or click on one of the other tabs.

UNDER THE HOOD: The Operators and Security feature uses the following tables, Operators, Access and Group.  The Operator table contains the information that is on the Access Settings  screen under the Operator tab.  When operator information is added or edited in this tab the information is updated in the Operators table.  The Access table is password protected and contains the specific settings for each of the tabs in the Access Settings.
